Privacy Policy

ClipEngine AI (“we”, “our”, or “us”) is committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have in relation to it.

This policy applies to all users of ClipEngine AI, accessible at our website and web application. By using our service, you agree to the collection and use of information in accordance with this policy.

If you do not agree with any part of this policy, please discontinue use of the service.

Who We Are

ClipEngine AI is a web-based metadata generation tool built for stock footage contributors. The service allows users to upload screenshots of their video clips and receive AI-generated metadata including titles, descriptions, keywords, categories, and a technical quality audit.

For the purposes of data protection law, ClipEngine AI is the data controller of your personal information. If you have any questions about this policy or our data practices, please contact us using the details provided at the end of this document.

Important: About Screenshot Uploads

ClipEngine AI does not receive, process, or store your video footage.

When you use ClipEngine AI, you upload still-image screenshots — individual frames captured from your video clips. These are standard image files (e.g. JPG, PNG). The actual video file itself is never uploaded to our servers, never transmitted over the internet through our service, and never accessed by ClipEngine AI in any way.

The screenshots you upload are used exclusively to enable our AI system to analyse the visual content of your clip for the purpose of generating metadata. Nothing more.

Specifically regarding your uploaded screenshots:

  • Screenshots are transmitted securely over HTTPS to our server-side AI processing service.
  • Screenshots are processed in memory to generate your metadata output and are not permanently stored on our servers beyond what is necessary for the generation session.
  • Screenshots stored temporarily in our cloud storage bucket (Supabase) are associated only with your account and are subject to our data retention policy.
  • Screenshots are never used to train, fine-tune, or improve any AI model — ours or anyone else's.
  • Screenshots are never sold, shared, or disclosed to any third party except our AI processing service provider, which processes them solely on our behalf under strict data processing terms.
  • You retain full ownership of your screenshots at all times.

Information We Collect
A. Account Information

When you register for ClipEngine AI, we collect your email address and a securely hashed password. This information is required to create and maintain your account. We do not store passwords in plaintext — authentication is handled by Supabase Auth, which uses industry-standard encryption.

B. Uploaded Screenshots

As described in Section 2, you may upload still-image screenshots of your video clips. These are processed to generate metadata and may be temporarily stored in a private, access-controlled cloud storage bucket associated with your account. They are not accessible to other users.

C. Generated Metadata and Clip History

When you generate metadata, the output (title, description, keywords, categories, classification, and any editorial caption) may be saved to your clip history in our database. This is done to provide you with a history of your generations and to allow you to review past outputs. You can delete individual history entries or your entire history at any time.

D. Settings and Preferences

We store your application settings, including keyword suffix preferences, title and description suffix settings, keyword distribution preferences, font size, theme, and other personalisation options. These are stored in our database against your account.

E. Usage Data

We may collect information about how you use the service, including the number of generations performed, features accessed, session duration, and interactions with the application. This data is used to improve the service and is not linked to your personal identity in any external reporting.

F. Technical and Device Data

We may collect technical information including your IP address, browser type and version, operating system, device identifiers, and session tokens. This information is collected automatically when you use the service and is used for security, fraud prevention, and service operation purposes.

G. Payment Information

If you subscribe to a paid plan, payment processing is handled by a third-party payment processor. We do not store your full credit card number, CVV, or bank account details on our servers. We may retain your billing address and the last four digits of your payment method for reference purposes.

H. Communications

If you contact us by email or through our contact form, we will retain the contents of your message and your contact information in order to respond to your enquiry.

How We Use Your Information

We use the information we collect for the following purposes:

  • To provide the service — processing your screenshots and generating metadata output.
  • To manage your account — authentication, settings, and session management.
  • To store your history — saving generated metadata to your clip history for future reference.
  • To improve the service — analysing usage patterns to enhance features, performance, and user experience. We do not use your screenshots or metadata for this purpose.
  • To communicate with you — sending account-related notifications, billing information, and responses to your support requests. We do not send marketing emails without your explicit consent.
  • To ensure security — detecting and preventing fraud, abuse, and unauthorised access.
  • To comply with legal obligations — responding to lawful requests from authorities and meeting our legal and regulatory requirements.

Legal Basis for Processing (GDPR)

For users in the European Economic Area (EEA), United Kingdom, or other jurisdictions with similar data protection laws, we process your personal data on the following legal bases:

  • Contract performance — processing necessary to provide the service you have subscribed to or requested.
  • Legitimate interests — improving the service, ensuring security, and preventing fraud, where these interests are not overridden by your rights.
  • Legal obligation — where processing is required to comply with applicable law.
  • Consent — where we have asked for and received your consent, such as for optional marketing communications. You may withdraw consent at any time.

Third-Party Services and Data Sharing

We do not sell your personal data to third parties. We may share data with the following service providers, who process data on our behalf under binding data processing agreements:

Supabase

We use Supabase for user authentication, database storage (account data, settings, clip history), and private file storage (screenshots). Data is stored in secure, access-controlled infrastructure. Row-level security is enforced — your data is never accessible to other users. For more information: supabase.com/privacy

AI Processing Service

Your uploaded screenshots are transmitted to a third-party AI service for the purpose of generating metadata. This service processes your screenshots solely on our behalf and in accordance with our instructions. Screenshots are not stored by this service beyond what is necessary to complete the generation request. This service does not use your screenshots for training, advertising, or any purpose other than generating your metadata output.

Vercel

Our web application is hosted on Vercel's infrastructure. Technical request data (including IP addresses) passes through Vercel's servers. For more information: vercel.com/legal/privacy-policy

Payment Processor

Subscription payments are processed by a third-party payment provider. Payment data is subject to that provider's privacy policy and is governed by PCI DSS standards. We do not store full payment card details.

Legal Disclosure

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a legal request.

Business Transfer

In the event of a merger, acquisition, reorganisation, or sale of all or part of our assets, your personal data may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our service prior to your data being transferred or becoming subject to a different privacy policy.

Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes set out in this policy, unless a longer retention period is required by law.

  • Account data — retained for as long as your account is active. Upon account deletion, account data is deleted within 30 days.
  • Clip history and generated metadata — retained for as long as your account is active. You may delete individual records or your entire history at any time from within the application.
  • Uploaded screenshots — temporarily stored in your private storage bucket. Not retained beyond what is necessary for the service. You may delete screenshots associated with your history entries at any time.
  • Usage and technical logs — retained for up to 90 days for security and performance monitoring purposes.
  • Payment records — retained for the period required by applicable financial and tax regulations (typically 7 years).
  • Support communications — retained for up to 2 years from the date of last correspondence.

Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration. These include:

  • All data transmitted between your browser and our servers is encrypted using HTTPS/TLS.
  • Database access is protected by row-level security — your data is only accessible to your authenticated session.
  • File storage is private and access-controlled — your screenshots are not publicly accessible.
  • API keys and credentials are stored as environment variables and never exposed in frontend code.
  • Authentication is handled by industry-standard secure infrastructure.

While we take every reasonable precaution, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security and encourage you to use a strong, unique password for your account.

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify you and the relevant supervisory authority within the timeframes required by applicable law.

Your Rights

Depending on your location, you may have the following rights regarding your personal data:

For All Users
  • Access — you may request a copy of the personal data we hold about you.
  • Correction — you may request that we correct inaccurate or incomplete data.
  • Deletion — you may request deletion of your account and all associated personal data, subject to our legal retention obligations.
  • Data portability — you may export your clip history as a CSV file at any time from within the application.
For EEA and UK Users (GDPR)
  • Restriction of processing — you may request that we restrict processing of your data in certain circumstances.
  • Objection to processing — you may object to processing based on legitimate interests.
  • Withdrawal of consent — where processing is based on consent, you may withdraw it at any time.
  • Complaint — you have the right to lodge a complaint with your local data protection supervisory authority.
For California Residents (CCPA / CPRA)
  • You have the right to know what personal information we collect, use, disclose, and sell.
  • You have the right to delete your personal information.
  • We do not sell your personal information to third parties.
  • We do not discriminate against you for exercising your privacy rights.

To exercise any of these rights, please contact us using the details at the end of this document. We will respond to all requests within 30 days (or within the timeframe required by applicable law).

Cookies and Tracking

ClipEngine AI uses a minimal number of cookies and similar technologies:

  • Authentication cookies — strictly necessary session cookies used to keep you logged in. These cannot be disabled without breaking the service.
  • Preference cookies — small pieces of data stored locally to remember your application preferences (theme, font size, etc.).

We do not use advertising cookies, cross-site tracking cookies, or third-party analytics cookies that profile your browsing behaviour. We do not participate in behavioural advertising networks.

Children's Privacy

ClipEngine AI is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately and we will take steps to delete that information from our records.

If we become aware that we have collected personal data from a child under 16 without verified parental consent, we will take steps to remove that information promptly.

International Data Transfers

ClipEngine AI operates globally and your data may be stored and processed in countries other than your country of residence. These countries may have different data protection laws than those in your jurisdiction.

Where we transfer personal data outside the EEA or UK, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, or that the transfer is to a country that has been deemed to provide adequate data protection.

By using ClipEngine AI, you acknowledge that your information may be transferred to and processed in other countries.

Third-Party Links

Our service may contain links to third-party websites, including stock footage marketplaces. This Privacy Policy applies only to ClipEngine AI. We are not responsible for the privacy practices of third-party sites and encourage you to read their privacy policies before providing any personal information.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make changes, we will update the “Last Updated” date at the top of this page.

If we make material changes that significantly affect your rights or how we use your data, we will notify you by email (using the address associated with your account) and/or by displaying a prominent notice in the application at least 14 days before the changes take effect.

Your continued use of ClipEngine AI after any changes to this policy constitutes your acceptance of the updated policy.
